Draft Emails and Replies with Copilot in Outlook

If you lack the confidence when it comes to creating a pitch perfect email, save yourself the stress and get Copilot to do it for you in a fraction of the time. Simply create a new email message Control N if you like keyboard shortcuts, and then press Alt I to open the Copilot prompt area. Or alternatively, you can click on the Copilot skittle, and then you can type in your prompt.


A prompt is a description of what you want the email to say. Be sure to include as much detail as possible for the best results. Let Copilot know the context, the tone, who the recipient will be and the length. And remember, if you don't get it exactly right the first time, you can always modify the text after, click generate.


Then if you are happy with the generated message, click "Keep it." And if at this stage you need to make any further changes, then you are able to do that. Now we can use a very similar process to reply to an email using Copilot. We just simply need to open the email that we want to reply to and click on the reply button.


Once again, we can press Alt I or click on the skittle to open the Copilot pane. And we can type our own prompt or choose one of the suggested prompts, click the generate button and Copilot will generate a reply based on the original email text.

Accessible alternatives

To ensure that everyone has a great learning experience, all the learning and activities are accessible or, where required, are supported by accessible alternatives.

  • Ctrl + N opens a new blank email message
  • Ctrl + I opens the Copilot prompt pane in the email body
  • Writing the perfect email can be stressful, especially when you want to get the tone, content, and length just right. Copilot helps you craft professional, well-worded emails in a fraction of the time, so you can focus on what matters most.
  • Be specific in your prompt! Mention key points, tone (formal, friendly), length etc.!
  • To create a new email:
    1. Press Ctrl + N to open a new message.
    2. Press Alt + I or click the Copilot icon to open the prompt.
    3. Type a detailed prompt and click Generate.
    4. Review the draft, then click Keep it or edit as needed.
  • To reply to an email:
    1. Open the email and click Reply.
    2. Press Alt + I or click the Copilot icon.
    3. Enter a prompt or select a suggestion, then click Generate.
    4. Review, edit if needed, and send your reply.
